POSITION SUMMARY

The Cincinnati Art Museum has an opening for a full-time Event Captain for the Museum’s Hospitality and Special Events department. This position will be scheduled 40 hours per week, working a mix of business hours, evenings, and weekends.

The Event Captain is vital for creating an exceptional guest experience, through the timely setup, execution, and teardown of museum focused events and venue rentals. In between events, the Event Captain will work in an open office environment, planning and coordinating events with entire hospitality and events team for internal and external events.


ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Working under the direction of the Events and Hospitality Manager, duties include, but are not limited to:

  • Oversees all event service operations and ensures that all event service details are executed. Assist in ensuring that the events are on time. Adjust as needed and relay that information to the appropriate personnel, such as the security, kitchen, and facilities teams.
  • Review Banquet Event Orders (BEOs) at the beginning of each shift to ensure rooms are set as contracted. Confirm and assist in setup of A/V equipment as needed.
  • Responsible for set-up and tear down of all events with the events team.
  • Responsible for the performance of the event service staff, including direct supervision of the event staff. Manage the staffing levels before and during the events.
  • Collaborate with the Kitchen and Special Events sales team to ensure that quality service is provided for all meeting and event guests.
  • Be an active liaison between the guests and other Art Museum staff to ensure outstanding customer service while maintaining company procedures and complying with company policies.
  • Maintain all equipment and facilities in an organized, clean, safe environment.
  • Communicate any areas of need, problems, and concerns from guest to the Events and Hospitality Manager.
  • Work closely with Security, Buildings and Grounds, and Visitor Services staff to schedule and perform transportation of supplies and equipment as needed throughout the Art Museum.
  • Complete administrative tasks as assigned by Events and Hospitality Manager.
  • Assist in Hospitality department as needed.
  • Create and update event order packets.
  • Weekly alcohol ordering and monthly inventory.
  • Other duties as assigned.

 

REQUIREMENTS

  • High School graduate or equivalent vocational training certificate required and minimum of 2-4 years of experience in events/banquets, food & beverage, conference services or a related discipline is required.
  • Excellent written and oral communication skills required. Positive interpersonal and customer service skills required.
  • Strong project management skills required.
  • May work indoor or outdoor settings. Varying schedule to include evenings, holidays, and extended hours as business dictates.
  • Working knowledge of various computer software programs (MS Office, restaurant management software, POS).
  • A degree in hospitality, culinary arts/science or related certificate from a highly accredited school would be highly desired.

  • Able to reach hands and arms in any direction and kneel, stoop or crouch repeatedly
