The Payroll & Human Resources Assistant provides support for routine human resources (HR) and payroll functions and delivers day-to-day administrative assistance. They will assist the Vice President of Human Resources and the broader HR team with a range of responsibilities, including payroll processing tasks such as entering new hires, preparing journal entries, calculating wages, entering data, and supporting timekeeping procedures. Additional duties include scheduling, preparing open enrollment materials, managing parking administration, and supporting various HR-related processes as needed.

A service provider to multiple companies; weekly payroll processing may vary from 300 to 1000 employees during peak season. As a part of the Human Resources team they will model the company values in their work and foster a respectful, employee-oriented, high performance internal culture that supports the organizations strategic plan.

Responsibilities:

  • Respond to employee inquiries and provide information regarding human resources policies and payroll matters, ensuring a high level of accuracy, professionalism, and customer services in all interactions.
  • Maintain confidentiality of employee records and of HR/Payroll matters.
  • Update and maintain employee payroll data and company files.
  • Process new employees, promotions, terminations and assist with onboarding as needed.
  • Process assigned weekly payroll batches in coordination with Director of Payroll Services.
  • Act as the primary backup for weekly payroll processing, along with relation functions.
  • Ensuring compliance for garnishment processing and respond to employee verification requests.
  • Assist with electronic timekeeping system.
  • Assist the Director of Payroll Services with general ledger entries, invoicing and various financial audits.
  • Assist with post processing tasks: downloading reports and check request creation.
  • Assist with mail processing and check depositing in coordination with the Finance Department.
  • Maintain and update the process and procedures manual in coordination with the Director of Payroll Services.
  • Provide administrative support to the Vice President of Human Resources.
  • Provide administrative support by coordinating scheduling, ordering supplies, preparing materials, managing parking administration, and handling other general office tasks as needed.
  • Perform other duties as assigned.
Requirements
  • Minimum 2 to 3 years of experience in payroll processing
  • Experience with Paylocity, Paycor or related Payroll and HRIS
  • Proficiency Microsoft Word and Excel
  • Familiarity with processing multi-location payroll
  • Accounting and general ledger experience preferred
  • Proven aptitude for attention to detail
  • Demonstrated customer services skills
  • Able to prioritize and multitask effectively
Salary Description
$42,000 – $46,000 annual, negotiable within range
